Organising hassle-free events at Reading
04 December 2023
Almost all of us will be involved with organising an event during our time here at the University.
Here, we remind you of some top tips to ensure yours is well planned and runs as smoothly as possible.
Getting approval
First stop is checking whether your event needs to be notified. Most do. And the Events team can’t help you promote your event, i.e. list it on the Events website, until you’ve received that.
Submissions need to be done at least 28 days in advance, meaning a visit to the page should be made at least a couple of months before your proposed event date, to allow sufficient time to plan and prepare documentation that will be required to submit.
Note also that notification isn’t just required for events - filming and drone flights must get approval through the process too.
Event advice
The Events team is always happy to provide advice (call 6718 or email events@reading.ac.uk), however a browse through their events guide is recommended beforehand as a useful source of information.
The guide is constantly evolving, so do let the team know if there’s additional detail you would like to see in it.
Often new direction or policies are featured so be sure to check it out regularly.
Training
Need advice on best way to advertise your activity or get support?
The Events team offers termly training to equip colleagues with the skills and knowledge to manage seamless events.
Whether you are new to event organisation, or just need a refresher, sign up to the next Event Organiser Training on 26 January 2024.
